Anchoring

All tents must be anchored. The traditional anchoring method utilizes 42"x 1¼" steel stakes driven 36" into the ground. Most tents installed throughout NYC cannot be staked and must be ballasted. The amount of weight required will vary based upon the size of the tent and location. Large tents installed in exposed, windy areas or on rooftops require significantly more weight than a small tent installed in a protected courtyard. In either case, they both must be anchored. The minimum weight required for a small frame tent installed in a protected area is 275 lbs per upright. This can be accomplished by using our standard weight stack. Larger tents, like the Navi-Trac™, require double that amount and the clear -span style tents require between 3,500 – 7,000 lbs per upright. This requires the use of large water ballasts or gravity blocks. Century™ tents require even more weight for anchoring without stakes and although possible, it is not recommended.

Stand-by Policy (rain contingency)

In order to ensure that you and your clients get the best possible service and the appropriate equipment for their event, we highly recommend reserving the tents and other related equipment and services as far in advance as possible, especially during the peak wedding months of May, June, September, October and December. This will allow time for planning and troubleshooting to avoid any problems, as well as allow us time to secure all the necessary permits. In order to guarantee availability for both equipment and production time, we require a 50% non-refundable deposit at the time of the order. This tells us this is a viable event and we will commit to having the necessary equipment and crew available to produce it. It is not unusual for us to sell out of production capacity during these peak periods. You have the option to cancel the order up to 72 hrs before installation, and you will only be charged the 50% reservation fee plus any out- of- pocket costs for permits, custom ordered equipment, etc. Without a signed contract and deposit, we are not able to hold any equipment or production time and cannot guarantee availability in the event of bad weather at the last minute. We are also unable to begin the permit filing process without the client’s financial commitment. We regularly quote on projects where the client is unwilling to make a commitment before they get a reliable weather forecast. If we are still available, we are happy to help. Unfortunately, very often we have sold out of either the equipment or production time and are unable to help. Committing to the reservation fee guarantees our availability. We understand that in this economy, client’s budgets are tight. During the non-peak months we are willing to be flexible with the reservation fee whenever possible.

Permits

Permits are required for most tent installations, even on private property. The requirements vary from town to town, so please call us to find out what permits may be required for your event.
